At Enbot, accessible from our website and Discord bot, one of our main priorities is the privacy of our users. This Privacy Policy document contains types of information that is collected and recorded by Enbot and how we use it.

This Privacy Policy applies to our Discord bot, web dashboard, and all related services. This policy is valid for all users who interact with Enbot, whether through Discord commands, the web dashboard, or any other means.

Usage Agreement

By inviting the bot to your Discord server and using its features (commands, dashboard, moderation tools, etc.), you are agreeing to the below mentioned Terms and Privacy Policy of the bot.

You acknowledge that you have the privilege to use the bot freely on any Discord server you share with it, that you can invite it to any server where you have "Manage Server" or "Administrator" permissions, and that this privilege might be revoked if you are subject to breaking the terms and/or policy of this bot, or the Discord Terms of Service, Privacy Policy, and/or Community Guidelines.

By inviting and using the bot, it may collect specific data as described in this Policy. The intended usage of this data is for core functionalities such as:

  • Storing server settings and configurations
  • Processing commands and features
  • Tracking server statistics and activity
  • Managing moderation logs and actions
  • Handling the XP/leveling system
  • Running giveaways
  • Providing dashboard functionality

The bot will only collect data as described in this Policy and will not share any data with third parties for marketing purposes.

Consent

By using our Discord bot and web dashboard, you hereby consent to our Privacy Policy and agree to its terms. For our Terms of Service, please visit the Terms of Service page.

Information We Collect

When you use our Discord bot and web dashboard, we collect and process the following information:

Discord User Information

  • User ID (Discord snowflake identifier)
  • Username (current Discord username)
  • Global name (Discord display name, if set)
  • Avatar (profile picture URL)
  • Discriminator (legacy Discord tag, if applicable)
  • Account flags (badges, nitro status)

We do not collect:

  • Email addresses
  • Phone numbers
  • Payment information
  • Private messages or DMs
  • Voice chat data
  • Any other personal information not listed above

Discord Server Information

  • Server ID (Guild snowflake identifier)
  • Server name and icon
  • Server roles (role IDs and names for permission management)
  • Channel IDs (for features like welcome messages, logs, etc.)
  • Server member count and presence data
  • Server emojis and stickers (for display purposes)

Bot Usage Data

  • Commands executed (for functionality and analytics)
  • XP and level data (for the leveling system)
  • Moderation logs (warnings, bans, kicks, timeouts)
  • Server statistics (joins, leaves, messages for charts)
  • Giveaway data (participants, winners, settings)
  • Custom server settings (welcome messages, embed colors, AutoMod configurations)
  • Dashboard activity logs (who made changes and when)

How We Use Your Information

We use the information we collect for the following purposes:

  • Authentication & Authorization: Your Discord User ID is used to authenticate you on the dashboard and verify your permissions
  • Bot Core Functionality:
    • Processing and executing Discord commands (143+ commands)
    • Managing server settings and configurations
    • Storing XP/leveling data and leaderboards
    • Running giveaway systems
    • Handling moderation actions (warnings, bans, AutoMod)
    • Welcome and leave messages
    • Server statistics and analytics charts
  • Dashboard Functionality: Providing a web interface to manage your server settings remotely
  • Communication: Responding to support inquiries and important service updates
  • Service Improvement: Analyzing usage patterns to improve bot features, performance, and user experience
  • Security & Abuse Prevention: Monitoring for fraudulent activity, spam, and violations of our terms

We do not:

  • Sell your data to third parties
  • Use your data for advertising or marketing purposes
  • Share your data with third parties except as required by law
  • Read your private messages or monitor your conversations

How We Store Your Information

  • Secure Storage: All data is stored on secure servers using industry-standard PostgreSQL databases with encryption
  • Data Access: Only authorized personnel have access to the database for maintenance and support purposes
  • Third-Party Services: We use trusted infrastructure providers (Neon for PostgreSQL, Redis Cloud for caching) who comply with GDPR and other data protection regulations
  • Data Protection: While we implement reasonable security measures, no system is completely secure. We cannot guarantee absolute security but take all reasonable precautions

Data Retention Period: We retain your data for one year after your last interaction with the bot (last command used or last server activity). After this period, your data is automatically deleted. If you wish to delete your data sooner, see the Data Deletion section below.

Data Deletion

You have full control over your data. You can delete your data through multiple methods:

Option 1: Delete User Data via Dashboard

Visit your User Profile Settings and click the "Delete Account" button. This will permanently delete:

  • Your user profile and settings
  • Your XP/level data across all servers
  • Your reputation points
  • All personal data associated with your Discord account

Option 2: Delete Server Data

Remove the bot from your Discord server by kicking it. This will permanently delete:

  • All server settings and configurations
  • Server statistics and analytics data
  • Moderation logs (warnings, bans, etc.)
  • Welcome/leave message settings
  • AutoMod configurations
  • Giveaway data
  • All other server-specific data

Option 3: Request Manual Deletion

Contact us through our Discord Support Server or Contact page (reach out to Bill_Hub) to request data deletion. We will verify your identity and delete your data within 30 days.

Important Notes:

  • Data deletion is permanent and irreversible
  • We cannot restore deleted data once the deletion is complete
  • Deleting your data does not remove messages sent by the bot in your server (you must delete these manually)
  • We may retain certain data for longer periods if required by law (e.g., for legal compliance, fraud prevention)
  • Automated deletion occurs after one year of inactivity

If you wish to access or download your data before deletion, you can request a data export through the dashboard or by contacting us.

Analytics

We use Hotjar to better understand our users' needs and optimize the dashboard experience.

Hotjar is a technology service that helps us understand user behavior on our web dashboard (e.g., how much time users spend on pages, which features they use, what they like and dislike, etc.). This enables us to build and maintain a better service based on user feedback.

What Hotjar Collects:

  • Device IP address (processed during session and stored in de-identified form)
  • Device screen size and type
  • Browser information
  • Geographic location (country only)
  • Preferred language for displaying the dashboard

Hotjar stores this information on our behalf in a pseudonymized user profile. Hotjar is contractually forbidden to sell any data collected on our behalf.

Hotjar is only used on the web dashboard - it does not collect any data from Discord bot usage.

Cookies Policy

We use cookies to enhance your experience on the web dashboard. Cookies are small text files stored on your device that help us remember your preferences and provide secure login functionality.

We use cookies for the following purposes:

  • Authentication: Remember your login credentials and provide secure access to your account, allowing you to stay logged in without re-entering credentials
  • Personalization: Remember your preferences (language, theme settings) to personalize your dashboard experience
  • Analytics: Analyze user behavior to improve dashboard performance and understand how users interact with features

By using our dashboard, you consent to the use of cookies in accordance with this policy. You can control cookies through your browser settings and opt-out of non-essential cookies. However, disabling cookies may affect your user experience.

Third Party Privacy Policies

Enbot's Privacy Policy does not apply to third-party services or websites. We advise you to consult the respective Privacy Policies of these third-party services for more detailed information about their practices and how to opt-out of certain options.

Third-party services we use:

  • Discord: For bot functionality and authentication - Discord Privacy Policy
  • Hotjar: For analytics on our dashboard - Hotjar Privacy Policy
  • Neon: For database hosting - Neon Privacy Policy
  • Redis Cloud: For caching services - Redis Privacy Policy

You can choose to disable cookies through your individual browser options to limit data collection from these services.

CCPA Privacy Rights (Do Not Sell My Personal Information)

Under the California Consumer Privacy Act (CCPA), California consumers have the right to:

  • Right to Know: Request that we disclose the categories and specific pieces of personal data we have collected about you
  • Right to Delete: Request that we delete any personal data about you that we have collected
  • Right to Opt-Out: Request that we do not sell your personal data (Note: We do not sell personal data)
  • Right to Non-Discrimination: Not be discriminated against for exercising your CCPA rights

If you make a request, we have 30 days to respond to you. To exercise any of these rights, please contact us through our Discord Support Server by messaging Bill_Hub with "CCPA Request" as the subject.

GDPR Data Protection Rights

Under the General Data Protection Regulation (GDPR), EU/EEA users are entitled to the following rights:

  • Right to Access: Request copies of your personal data. You can also download your data through your User Profile Settings
  • Right to Rectification: Request correction of any information you believe is inaccurate or incomplete. Update your information via the dashboard
  • Right to Erasure: Request deletion of your personal data under certain conditions (see Data Deletion section)
  • Right to Restrict Processing: Request restriction of processing your personal data under certain conditions
  • Right to Object: Object to our processing of your personal data under certain conditions
  • Right to Data Portability: Request transfer of your data to another organization or directly to you

To exercise any of these rights, contact us on our Discord Support Server or Contact page (message Bill_Hub) or use the data management tools in your dashboard. We will respond within 30 days.

Children's Information

Protecting children's privacy is important to us. Enbot does not knowingly collect any Personal Identifiable Information from children under the age of 13.

Discord's minimum age requirement is 13 years old. By using Discord and Enbot, users affirm they meet Discord's age requirements.

If you believe your child under 13 has provided information through our bot or dashboard, please contact us immediately through our Discord Support Server (message Bill_Hub). We will take prompt action to remove such information from our records.

Parents and guardians are encouraged to monitor and guide their children's online activities.
